Insights User Guide
NovoPath 360 introduces Insights, a modern, embedded analytics module powered by Looker. Insights allow lab administrators, managers, and authorized users to view, explore, and interact with operational data through reports, dashboards, and data exploration—without leaving NovoPath 360.
This guide explains how to access the Insights module, use each tab (Reports, Explorer, Dashboards), and understand key features such as filtering, queries, downloads, and permissions.
📘 Section 1: Accessing Insights
🎯 Goal:
Access embedded analytics (reports, explorer, dashboards) directly inside NovoPath 360.
🔧 Steps to Access:
- Log in to NovoPath 360.
- In the left navigation menu, click Insights.
Only users with the required roles/permissions will see this option.
The Insights module opens with three tabs:
- Reports – Saved and reusable report templates
- Explorer – Ad-hoc querying and data analysis
- Dashboards – Visual summaries made of multiple widgets
Note:
- Insights must be enabled per client by an administrator via the EnableInsights database option.
📘 Section 2: Reports Tab
🎯 Goal
The Reports feature in Insights allows users to create, edit, and manage analytical reports that visualize key data from the system. Reports can be created as Personal Reports (visible only to the creator) or Group Reports (shared with other users).
Creating a New Report
Creating a Personal Report
- Click the Add button.
- A new form “Add New Report” opens.
- Enter the desired report name.
- Choose Personal Report as the report type.
- From the Report View dropdown, select Novopath Case.
- Enter a description for your report.
- Click Save.
- The new personal report appears in the list of reports on the left pane, with the logged-in user’s full name displayed next to the report name.
Creating a Group Report
- Click the Add button.
- A new form “Add New Report” opens.
- Enter your desired report name.
- Choose Group Report as the report type.
- Select the category you need.
- From the Report View dropdown, select Novopath Case.
- Enter a description for your report.
- Click Save.
- The group report appears in the list of reports on the left pane with the category name displayed next to it, and it is visible to all users who have permission to view that report category.
Edit a Report name/type/category/description
You can modify the report name, type, category, or description by clicking the edit icon next to the report name in the header.
Editing a Report
- Browse or search for your report, then in the list, click the report name
- Press Run to load the data
- Click on the 3 dots at the top left of the report header and choose Edit
- Select Report Fields:
- Add or remove fields (dimensions or measures) by selecting them in the field picker — your data table and visualization will update automatically.
- In the Data / Fields panel:
- Click a field to add it
- Drag fields up or down to reorder columns
- Fields appear as columns in the results table
Tip: Column order directly affects tables and charts.
Pivoting Data (Turning Rows into Columns)
Pivoting converts values from a dimension into separate columns, allowing grouped comparisons (e.g., counts by Status across Case Types).
- Edit the report
- In the Fields section, locate the dimension you want to pivot
- Click Pivot (or drag the field into the Pivot area)
- Run the report
Use Pivot When:
- You want side‑by‑side comparisons
- You want summarized views instead of long tables
- Set row or column limits to control the size of your query results.
- Sort by clicking a column header in the data table to reorder results.
→ The selected fields appear as columns in the Data section.
Apply Filters:
Filters can be built on any dimension or measure and even include custom expressions combining fields, functions, and operators to restrict the data returned.
Filters control which data appears — they do not change the data itself.
Filter Types
- Include: show only matching records
- Exclude: hide matching records
How to Add a Filter
- Edit the report
- Go to the Filters section
- Click Add Filter
- Choose:
- Field (dimension or measure)
- Condition (equals, contains, greater than, etc.)
- Value
- Save and Run
→ The chosen filters determine which records are displayed in the report.
→ Filters follow a hierarchy:
- Report‑level → applies to entire report
- Visualization‑level → applies only to that chart/table
→ Multiple filters are combined using AND logic (all must be true).
Understanding Filter Conditions
- Equal to → exact match
- Contains → partial text match
- In → multiple exact values (comma‑separated)
- Greater than / Less than → numeric thresholds
- Is Null → missing values
Sorting and Limiting Results
- Click a column header to sort ascending/descending
- Use Row Limit / Column Limit to restrict result size
Choose Visualization Type:
In the Visualization section, Select a visualization type from the menu, click Edit to adjust chart settings (titles, axes, colors, series), and apply table options like cell bars and subtotals—your visualization updates in real time after running the query
You can choose a visualization type such as Table, Bar Chart, Column Chart, or any other available option.
→ The data will be displayed in the chosen format.
Choosing and Editing Visualizations
Available Visualization Types
- Table
- Bar Chart
- Column Chart
- Line Chart
- Pie Chart
- Others depending on data
How to Change Visualization Type
- Edit the report
- Go to the Visualization section
- Select a new chart type
- Existing fields and filters remain intact
Editing Visualization Settings
You can adjust:
- Titles
- Axes labels
- Colors
- Series visibility
- Subtotals and totals (tables)
Click the Run button.
→ The report refreshes and displays data according to the selected filters and visualization.
Save the Report:
After reviewing the results, click Save.
→ All applied changes, filters, and visualizations are saved to the report.
Adding a Custom Field
You can create your own calculated metrics or dimensions directly from the Reports page using the Custom Fields option.
- In the left pane, click the Add button next to Custom Fields.
- Choose one of the following options:
- Custom Dimension
- Custom Measure
- Table Calculation
- A new window opens where you can define the custom field.
- Select the fields you want to include, then enter:
- The expression (formula or logic)
- The name of the new field
- The desired format (e.g., number, percentage, date)
- Click Save.
Use Custom Fields to tailor your reports with specific calculations or categorizations that are not part of the default dataset.
Scheduling a Report
The Scheduling feature allows you to automatically send report data to specific recipients at defined intervals, such as daily or weekly.
- Choose the report you want to schedule.
- Click on the Explore Actions button next to the Run button.
- Select Schedule from the dropdown menu.
- In the Schedule Report form:
- Enter a Title for the schedule.
- Add the recipients’ email addresses.
- Choose the file format in which the report will be sent (e.g., PDF, Excel).
- Under Schedule Settings, select how often the report should be sent: Daily, Weekly, or another available frequency.
- Specify the exact time for report delivery.
- Configure any Advanced Options as needed.
- Click Save to confirm the schedule.
The report data is automatically emailed to the specified recipients according to the defined schedule.
Send a Report by email
The Send option allows you to email report data directly to specific recipients in your preferred format.
- Choose the report you want to send by email.
- Click on the Explore Actions button next to the Run button.
- Select Send from the dropdown menu.
- In the Send Report form:
- Enter a Title for the email.
- Add the recipients’ email addresses.
- Choose the file format in which the report should be received (e.g., PDF, Excel).
- (Optional) Configure any Advanced Options as needed.
- Click Send to deliver the report.
- An email containing the report data is sent to the specified recipients.
Expanding and Collapsing the Reports View
You can expand the Reports View to work in full-screen mode or collapse it to return to the standard layout.
- Click on the Expand button.
- The Reports View switches to full-screen mode.
- The left pane (used to select reports) will be hidden.
- Reports can now be chosen from a drop-down menu at the top of the screen.
- To return to the normal view, click on the Collapse button.
- The Reports View returns to normal screen mode.
- The left pane reappears, allowing you to choose reports from the list as usual.
Use the Expand button for a wider, distraction-free workspace when reviewing large or detailed reports.
Opening a Report in a New Window
You can open any report in a separate window to work on it independently from the main
- Choose a report from the list or left pane.
- Click on the Open in a New Window button.
- The selected report opens in a new browser window.
- In the new window, you can perform all available report actions, including:
- Edit – Modify the report’s configuration or filters.
- Download – Export the report in your preferred format.
- Run – Execute the report to refresh data.
- Explore Actions – Access options such as Send and Schedule.
Opening a report in a new window allows you to work on multiple reports simultaneously without losing your place on the main Reports page.
Duplicating a Report
You can duplicate any existing report to create a copy that can be modified without affecting the original version.
- Choose the report you want to duplicate and open it.
- Click on the three dots (⋮) icon in the opened report.
- Select Duplicate from the menu.
- A copy of the report is created and automatically opened.
- The duplicated report also appears in the list of reports.
- You can edit the duplicated report to update any of the following:
- Name
- Type
- Category
- Description
- Fields and filters
Use the Duplicate function to quickly create similar reports without rebuilding configurations from scratch.
Download a Report
- Select a report from the list.
- Click Run to load the report data.
- The report data is displayed.
- Click the Explore actions button
- Select Download.
- The report is successfully downloaded.
Delete a Report
- Select the Report to be deleted.
- Click the Options menu (three dots).
- Select Delete from the menu.
- A confirmation dialog is displayed.
- Click Yes to confirm the deletion.
- The system deletes the Report and returns to the Reports page.
💡 Tips
- Some reports may be restricted based on permissions.
- Admin users can manage visibility and organize shared reports.
- Dimensions vs Measures
- Dimensions describe what you are analyzing (e.g., Case Type, Status, Provider, Date)
- Measures describe how much (e.g., Count of Cases, Turnaround Time, Revenue)
- Think of it as:
- Dimensions = labels / groupings
- Measures = numbers / calculations
📘 Section 3: Explorer Tab
🎯 Goal
The Explorer tab provides a flexible environment for querying and exploring data without creating or saving formal reports. It’s ideal for ad-hoc analysis, on-the-fly data exploration, and one-time data review.
Purpose
- Empower users to run ad-hoc queries without saving them as reports.
- Enable quick data exploration and testing of hypotheses.
- Support dynamic analysis needs across multiple data dimensions.
🧭 What You Can Do in Explorer
- Select from available dimensions and measures
- Apply dynamic filters
- Run queries instantly
- Group, sort, and summarize data
- Export result sets
Steps to Explore Data
- Navigate to Insights → Explorer.
- In the Data section, choose the fields you want to include by selecting from available dimensions and measures.
- The chosen fields will appear under the Data section.
- Click on the Filters section to add any conditions you need to apply (e.g., date range, case status, user type).
- In the Visualization section, select how you want your data displayed:
Table, Bar, Column, Line, or other available chart formats.
- Click the Run button to execute the query.
- The resulting data appears immediately, applying your chosen filters and visualization format.
- Click Download to export and save the result set to your device. A new window appears, allowing you to specify the file format and name of the exported report.
💡 Tips
Use the Explorer for quick, temporary insights or data checks. If you discover a valuable configuration, you can later recreate it as a saved report in the Reports tab.
Explorer: UI‑Level Usage
Explorer works like Reports but does not save results.
Use Explorer when:
- Testing ideas
- Answering one‑off questions
- Exploring data relationships
Explorer Workflow
- Select dimensions and measures
- Apply filters
- Choose visualization
- Click Run
- Download results if needed
If useful, recreate the setup as a saved Report.
📘 Section 4: Dashboards Tab
🎯 Goal
The Dashboards feature allows users to create and interact with customized dashboards composed of multiple report widgets. These dashboards provide a consolidated view of key data insights, enabling faster decision-making and easier access to commonly used reports.
Purpose
- Empower users to build personalized or shared (group) dashboards.
- Facilitate quick access to multiple reports within a single view.
- Support collaboration by sharing dashboards across users or teams.
- Each widget is a mini‑report with:
- Its own fields
- Its own filters
- Its own visualization
- Widgets can inherit dashboard‑level filters.
🧭 Creating a New Dashboard
Creating a Personal Dashboard
- Click the Add button.
- A new form titled “Add New Dashboard” opens.
- Enter the Dashboard Name.
- Choose Personal as the Dashboard Type.
- Add a Dashboard Description to briefly explain its purpose or content.
- Click Add to save.
- The new personal dashboard appears in the list of dashboards in the left pane, with the logged-in user’s full name displayed next to its name.
Tip: Use personal dashboards to organize and monitor data that is relevant only to you.
Creating a Shared Dashboard
- Click the Add button.
- The “Add New Dashboard” form appears.
- Enter the Dashboard Name.
- Choose Group as the Dashboard Type.
- Select the Category you want to assign to this group dashboard.
- Add a Dashboard Description to briefly explain its purpose or content.
- Click Add to save.
- The new group dashboard appears in the list of dashboards in the left pane, with its category displayed next to the dashboard name.
- Verification Steps:
- Log out from the current user account.
- Log in with another user account.
- Navigate to Insights → Dashboards.
- The shared dashboard will appear in the list of dashboards, confirming successful sharing.
Tip: Use Group Dashboards to share visual insights and reports with team members or other authorized users.
Adding Widgets to a Dashboard
The Dashboards tab provides visual summaries and interactive widgets for at-a-glance insights. Users can customize dashboards by adding multiple widgets to display key data in a single view.
- Select the newly created dashboard.
- Click the Edit Dashboard button.
- Click the Add button to add a new widget, a pop-up window opens.
- Choose one of the following widget types:
- Visualization – for charts, tables, or graphs.
- Text – for static text notes or descriptions.
- Markdown – for formatted text content.
- Button – for custom actions or navigation.
- For each selected widget:
- Choose the filters to apply.
- Select the Data fields.
- Pick the Visualization type (e.g., table, bar, column).
- Enter a title for the widget.
- Click Run to display the results in the widget.
- Arrange and resize widgets using drag-and-drop to organize the dashboard layout.
- Click Save to save the dashboard configuration.
- The saved widgets appear on the dashboard with their applied data and settings.
Tip: Use drag-and-drop to create a clear and intuitive layout. Consider grouping related widgets together for easier analysis.
Edit a Dashboard name/type/category/description
You can modify the dashboard name, type, category, or description by clicking the edit icon next to the report name in the header.
Adding Dashboard Settings
Dashboard settings allow users to configure general properties and filters that apply across all widgets on a dashboard, ensuring consistent data display.
- Choose the dashboard you want to edit.
- Click the three dots (⋮) icon on the selected dashboard and select Edit.
- In the dashboard toolbar, click Settings.
- A new form appears where you can:
- Adjust general settings (e.g., name, description, type).
- Configure general filters that apply to all widgets.
- Specify the settings and filters according to your needs.
- Click Save.
- The updated settings are applied across all widgets on the dashboard.
Tip: Use general filters to maintain consistency in dashboards with multiple widgets that rely on the same data criteria.
Applying a Quick Layout to a Dashboard
The Quick Layout tool allows users to instantly organize all widgets on a dashboard using predefined layout options. This ensures a clean, consistent, and visually balanced dashboard with minimal effort.
- Choose the dashboard you want to modify.
- Click the three dots (⋮) and select Edit.
- In the dashboard toolbar, click Quick Layout.
- A pop-up window appears where you can choose from the available layout options.
- Select the layout you want to apply.
- The selected layout is instantly applied across all widgets on the dashboard.
- Click Save.
- The new layout is saved and becomes the active structure for the dashboard.
Tip: Use Quick Layout to quickly re-organize dashboards after adding or resizing multiple widgets, ensuring a clean and readable presentation.
Opening a Dashboard in a New Window
Dashboards can be opened in a separate window to allow users to focus on a single dashboard or work with multiple dashboards side-by-side.
- Choose the dashboard you want to view.
- Click the “Open in a New Window” button.
- The dashboard opens in a new browser window, providing a dedicated workspace.
- In this new window, you can perform the following actions:
- Edit – Modify the dashboard layout, widgets, or settings.
- Download – Export the dashboard data.
- Schedule a Delivery – Set up automated email delivery of the dashboard.
- Reset Filters – Clear all applied filters to return to the default view.
Tip: Opening a dashboard in a new window is useful when comparing multiple dashboards or when you need a larger viewing area without navigation panels.
Schedule a Dashboard Delivery
Dashboard delivery scheduling allows users to automatically send dashboard data to selected recipients at predefined intervals. This ensures stakeholders receive up-to-date insights without manually running or exporting dashboards.
- Choose the dashboard you want to schedule.
- Click the three dots (⋮) and select Schedule a Delivery.
- In the scheduling form:
- Enter a Schedule Name.
- Add the recipients’ email addresses.
- Choose the file format you want recipients to receive (e.g., PDF, CSV, etc.).
- Select the schedule frequency (daily, weekly, etc.) and specify the time of delivery.
- Configure any Advanced Options as needed (such as filters or conditions).
- Click Save.
- The dashboard data is emailed to the specified recipients based on the defined schedule.
Tip: Use scheduling for dashboards that need to be reviewed regularly by managers, teams, or external stakeholders.
Expanding and Collapsing a Dashboard
The Expand and Collapse options allow users to switch between a full-screen dashboard view and the standard view with the left navigation pane. This is useful when focusing on detailed dashboard content or when navigating between dashboards.
- Click on the Expand button.
- The dashboard switches to full-screen mode.
- The left pane is hidden, and dashboards can now be selected from a drop-down menu.
- To return to the normal view, click on the Collapse button.
- The dashboard returns to normal view.
- The left pane reappears, allowing you to choose dashboards directly from the navigation panel.
Tip: Use full-screen mode for dashboards with many widgets or complex visualizations to maximize workspace.
Resetting Dashboard Filters
Dashboards may contain filters applied manually or inherited from general settings. The Reset Filters option allows users to quickly clear all applied filters and return the dashboard to its default state.
- Click on the dashboard you want to view.
- The dashboard loads, displaying its widgets and data.
- Click the three dots (⋮) menu.
- Select Reset Filters.
- All applied filters are cleared.
- The dashboard returns to its default unfiltered view.
Tip: Use Reset Filters when you need to clear all conditions and review the dashboard from a clean starting point.
Download a Dashboard
- Select a dashboard from the list.
- The dashboard widgets and data are loaded.
- Click the Options menu (three dots).
- Select Download from the menu.
- The system generates the download.
- The dashboard is successfully downloaded as an image in a PDF file.
Dashboard Alert
Dashboard widgets may have alerts configured to notify specific recipients when certain conditions are met. Alerts automatically send an email to the specified recipients when the defined condition, such as a threshold being exceeded, occurs.
Alerts can be added only to widgets containing measures. Specify the condition, enter the email addresses of the recipients, and set the notification frequency, such as hourly or daily, etc….
Delete a Dashboard
- Select the dashboard to be deleted.
- The dashboard widgets and associated data are displayed.
- Click the Options menu (three dots).
- Select Delete from the menu.
- A confirmation dialog is displayed.
- Click Yes to confirm the deletion.
- The system deletes the dashboard and returns to the Dashboards page.
📘 Section 5: Permissions & Administration
Create a New Insights Category
- Navigate to Admin → Options.
- Select Insights Categories.
- The Insights Categories page opens, displaying all existing categories with options to view, edit, delete, or create a new category.
- Click Add Category.
- Enter a new category name (one that has not been used before).
- Click Save to create the category.
Assign Permissions for the New Category
- Navigate to Admin → Users.
- Open the appropriate User Group.
- Grant permission for this group to access the newly created category.
- Save the changes.
Verify the New Category in Reports
- Log out of the system and log back in.
- Navigate to Insights → Reports.
- Click Add New Report.
- Enable Group Report.
- Open the Category dropdown list.
- The newly created category appears in the list.
Permission to create Reports/Dashboards
- To manage a user’s ability to create reports and dashboards in Insights, navigate to Admin > Users and open the Groups tab.
- Select the relevant user group and click Permissions to open the permissions page.
- Under Insights Permissions, enable Create Reports/Dashboards and then close the permissions page.
- After the user logs out and logs back in, they will have access to create new content: the Add button will appear on both the Reports and Dashboards pages, allowing the creation of new reports or dashboards.
- To revoke this access, repeat the same steps and turn off the Create Reports/Dashboards permission.
- After logging out and back in, the Add button will no longer appear, and the user will no longer have the ability to create reports or dashboards.
Access to Insights Pages
To control user access to Insights pages, navigate to Admin > Users > Groups, select the group, and click Permissions.
Under Insights Permissions, toggle access for Reports, Explorer, and Dashboards.
After the user logs out and logs back in, they will only be able to access the pages for which permission is enabled; pages without permission will be hidden.
